We have an opportunity for a Technical Administrator to join the Asset Services team in our Perth office. This position is a maximum term contract for 12mths to cover maternity leave. The Technical Administrator will be responsible for providing support to the Bid & Business Development team by providing core administration/bid development functions in relation to Pre-Bid, Bidding and Post Bid activities.  This role will also provide a day-to-day support/administration to the team as required.


Responsibilities include:

  • Undertake all responsibilities in a safe manner.

  • Content Management - Prepare client specific tender submission templates for each proposal in readiness for the collation of all incoming materials, ensuring all elements of the request have been met to ensure compliance with the tender conditions and tender development program.  Prepare relevant proposal information for review and customisation by the Bid Leader (where required).  Develop illustrative graphics/flowcharts for inclusion in the submission.

  • Submission Design – Determine submission design/specialist print requirements including layout, folder artwork design, internal dividers etc. (working with external provider if applicable).  Ensuring compliance with all tender conditions and UGL branding guidelines.

  • Program - Distribute, update the tender/proposal program to ensure successful completion/delivery of submission response.  Provide timely feedback to the Bid Leader if an action of the Tender Program will not be met by the required due date.   These are detailed task schedules developed in line with the tender conditions and internal corporate governance procedures, ensuring successful project/submission delivery.

  • Print, Package & Delivery - Completion of final submission, hard/electronic copy and CD copy of the tender/proposal.  Packages the tender/proposal submission for delivery to prospective client.

  • Meetings (Gate Reviews) – Assist in the coordination of the business opportunity related meetings including Go/No-Go Meetings, Kick-off, Progress/Status, Risk Workshop, Tender (Estimate) Review Meetings, GMR/GTC and Internal Reviews, ensuring all relevant materials are completed correctly and distributed to participants

  • Approvals - Ensuring all necessary approvals and relevant documents (Gate Approvals) are completed / approved and filed as per company policy and within the required timeframes.

  • New Opportunities - Assisting with obtaining new opportunity materials from external client tender portals when required.

  • CVs – Compile, prepare and format CV’s for inclusion in tender submissions.

  • Project Data Sheets - Compile, develop, prepare and format project data sheets for the inclusion in document library and reformat for tender submissions as required

  • Document Library – Prepares, maintains, updates and monitors documentation as part of the Bid/Business Development Library as requested

  • Assist - Print, Package & Delivery – print and package submissions as required

  • Updates/Maintenance of Opportunity / Client Database 

To be successful in this role you be a strong communicator (oral & written) including strong negotiation and influencing skills and the ability to establish effective working relationships with a variety of people at different levels both internally and externally. Further requirements will include

  • Contribute to the innovation process within the business

  • Must be customer focused, team oriented, accountable and results driven

  • Demonstrated ability to work independently to organise and prioritise demands, handle multiple complex tasks simultaneously, set and meet deadlines and follow-through within a fast-paced environment with multiple and competing demands

  • Advanced skills in MS Office (Word, Excel, Access, Power point)

  • Experience gained in the rail, construction or any other safety critical environment.

  • Relevant business degree would be an advantage
